The GDPR Rescue
How we took a financial advisor's unsecured client records from desktop folders and email threads and built a locked-down, GDPR-compliant file system.

The Challenge: "A GDPR Breach Waiting to Happen"
A financial advisor was storing client tax forms, ID scans, and contracts in unorganised desktop folders and unsecured email threads, creating serious security and compliance risks.
Desktop Dump
Hundreds of client tax returns, passport scans, and financial statements were sitting in unsorted desktop folders with no backup, no encryption, and no access control.
Email Attachments
Sensitive documents were being exchanged via standard email attachments, sitting in inboxes indefinitely with no deletion policy and no audit trail.
Zero Compliance
No data retention policy, no privacy notices, no record of consent. If regulators came knocking, there was no evidence of GDPR compliance whatsoever.
The Fix: Partition, Secure, and Control
We migrated all sensitive data to a secure, partitioned Google Workspace, set up strict access control levels, and established secure upload portals for clients.
Data Migration & Partitioning
Secure Workspace Build
We migrated all files from unsecured local folders to Google Workspace Shared Drives. Client records were partitioned by category: financial documents, personal ID, contracts, and correspondence.
Immediate Impact
Every file now lives in a cloud-backed, encrypted environment with automatic versioning.
Tiered Access Controls
Role-Based Permissions
We built a 3-tier permission model: the advisor has full admin access, the assistant has view-only to financials, and clients have upload-only access via secure portals with no visibility into other records.
Security Layer
No client can see another client's data. No contractor can access financial files.
Secure Upload Portals
Client-Facing Security
Instead of emailing sensitive documents back and forth, clients now upload directly to a secure portal. Files land in the correct folder, tagged and dated, with no email copy left behind.
GDPR Shield
Full audit trail on every uploaded document. Retention policies auto-flag old records.
The Outcome Summary
The advisor went from a compliance liability to a fully documented, regulation-ready operation.

Why Data Security is Non-Negotiable
Fines Start at £17.5 Million
GDPR fines for data breaches in the UK can reach up to £17.5 million or 4% of annual turnover. For a small firm, even a minor infraction from the ICO can be devastating.
Trust is Your Currency
Clients hand you their most sensitive data: tax records, ID scans, bank statements. If they discover you store it in desktop folders, they leave and they tell others.
Visibility Prevents Leaks
Most data breaches happen because nobody is watching. Tiered access controls and audit logs give you complete visibility into who accesses what and when.
Compliance as a Feature
Once your data security is documented, you can market it. "GDPR-compliant file handling" becomes a selling point that separates you from competitors still using email attachments.
